Steps
1) List down existing government institutions and addresses of key leaders and public figures within the clinic catchment.
2) Make an appointment and meet with community focal persons of key institutions and key leaders that have influence on the community. This involves getting to know the leaders of key institutions existing in the community such as the Mayor, Clark, local councilor, Chairmen of Village Welfare Group, Women Groups, Youth Groups, Elders Group, Church and community leaders, Island/Urban Council and the Island Development Council.
3) Read existing national and local strategies and plans for community engagement
4) Take active part in coordination meetings. Prior to the meeting:
a. Decide before the meeting what you need to communicate and what issues you need to bring up ensuring you are prepared to advocate for your position with evidence. Remember to focus on one issue at a time bringing up only one or two issues in any given meeting
b. Ensure you are aware of the specific purpose of the meeting
c. Familiarize yourself with the agenda
d. Write down your contributions to the meeting in form of anticipated questions, discussion topics, contributions on best practice, proposals on the way forward etc.
e. Assemble documents you plan to give to stakeholders in the meeting
f. Attend the meeting
g. Record and share minutes with health staff at the clinic and national office/DPNO once they are finalized.
h. Follow up and implement actions agreed upon during the meetings.
5) Include actions taken, achievements and challenges in progress reports.
